Acceptance of Council Chambers Audio/Video Renovation Project, Bid No. 18-003 On December 5, 2017, the City Council awarded the contract for the Council Chambers AudioNideo (AV) Renovation Project, Bid No. 18-003, to Audio Associates of San Diego, Inc., in the amount of $636,648. This action will accept the project as complete. Recommended Action: It is recommended that the City Council: (1) Accept the Council Chambers AV Renovation Project, Bid No. 18-003 as complete; (2) Authorize the City Clerk to file and record the Notice of Completion; (3) Authorize the release of the retention in the amount of $32,697.79, if unencumbered, 45 days after City Council acceptance; (4) Release the United Fire & Casualty Company Bond for Material and Labor in the amount of $636,648 after the release of retention; and (5) Retain the United Fire & Casualty Company, Bond for Faithful Performance for a period of one year. Discussion: The Council Chambers AudioNideo Renovation Project included the replacement of a complete audio/visual system for the City of Poway Council Chambers, including the installation of a new video system, projector, screen, cameras, audio system, microphones, lighting system and reconfiguration of the control room. There were three Change Orders for this project in the amount of $17,307.84, to include the Closed Session room into the system, change the touchpanel models to provide enhanced functionality, and provide a timer panel for the Mayor's position. The final contract amount is $653,955.84. Staff finds the project to be complete in accordance with the project plans and specifications. Environmental Review: This item is not subject to the California Environmental Quality Act. 1 of 2 March 19, 2019, Item # 1 • `p Acceptance of the Council Chambers Audio/Video Renovation Project March 5, 2019 Page 2 Fiscal Impact: Sufficient funds are available in the Council Chambers AV Renovation Project (BDG0003) for the release of retention. After the retention payment of $32,697.79, the Council Chambers AV Renovation Project (BDG0003) will have an available balance of $6,811.44. This remaining balance will be transferred to program budget Government Access Channel Fund (PGM0002).
