Linking Project No. 19-003 Laserfiche document relationships link associated documents together so that each related document can be quickly accessed from one to the other. Our process involves multiple documents that, while related, must be processed and stored in different folders in the repository. While separate filing locations makes sense organizationally, it can be cumbersome for staff and the public to find related documents if they do not know they exist. That is why this linking project is extremely beneficial. Currently, the only document relationships that exist are for the following documents: Contracts, Name Subject of Request Vadnais, Alexis any open code violations including fire, approved site plans, planning approvals, road project plans for 13000 Danielson Street, APN 317-281-11 Thurman, Tara building permits, certificates of occupancy, zoning information, code violations, USTs, ASTs, and any outstanding and resolved violations for 14290 Danielson Street Hosko, Betty USTs, ASTs, septic systems, water supply wells, spills/release of hazmat, asbestos records, on-site waste disposal, radiation surveys, emergency response records, NOVs, Code enforcement actions, citations, permits, inspections, reports, or any other correspondence regarding 15706 and 15708 Pomerado Road, APN 2754161100 Olps, Chris all emails to and from City and Poway Unified School District – retracted request; anticipated to close out on February 26 Reyes, Estefania 1) name and license number of awarded general prime contractor; 2) copy of subcontractors list with license numbers of the awarded contractor submitted at time of bid, even if left blank; and 3) copy of original bid advertisement with proof of publication regarding Roofing Services RFP No. 20-009 Muratsuchi, Jordan Current solid waste franchise agreement Jorquiera, Gabriela haz mat responses/inventory, records of soil and water contamination, LUST/UST, any permits of certificate of occupancies for the northeast corner of Kirkham Way and General Atomics Way, APN: 323-910-90 Olps, Chris fund account names for the Lighting District and fund balance for last 20 years Olps, Chris City Council speaker's slips January 2019-present Messallam, Omar list of properties that have received a water shut off order in the past year Schmidt, Jeffrey list of documents pertaining to Meadowbrook subdivision including public review notices and comments, and City Council minutes Young, Sarra open and closed residential code violations from 02/05/20-03/04/20 Agreements, Resolutions, Ordinances, Minutes and Recorded Documents. Phase I consists of linking documents in Agenda Packets from 2010-present. There were approximately 305 City Council meetings worth of staff reports to review for related documents and link together. Phase II – 58% Complete Phase II consists of 409 Agenda Packets from years 2000-2009. We are currently 58% complete. City staff has already begun the coordination process between the other co-permittees and Regional Board staff to start the update. The co-permittees have sent out letters and other notifications requesting any information people would have on the watershed as a whole and in particular, any data they may have regarding measurements of water quality in Lake Hodges and its tributaries.
